1. Introduction
This Manual is published to assist persons who wish to request access to records held by Patrick Klaassen, trading as Ink of Klaassen, and to describe the categories of information and personal information processed by the business.

3. PAIA Guide
The Information Regulator publishes a Guide explaining how PAIA may be used and how access requests can be made. The Guide is available from the Information Regulator in multiple official languages. For Ink of Klaassen, English and Afrikaans are the principal languages selected for assistance relating to the Guide.
Current PAIA forms and guidance can be obtained from the Information Regulator.
4. Records available without a formal request
Information already published on the Ink of Klaassen website can ordinarily be accessed without a formal PAIA request. This includes public product information, book descriptions, published author information, public website content and published policies.
5. Legislation under which records may be held
Depending on the record and the business activity involved, Ink of Klaassen may hold records in accordance with legislation including the Promotion of Access to Information Act, Protection of Personal Information Act, Consumer Protection Act, Electronic Communications and Transactions Act, Income Tax Act, Tax Administration Act, Copyright Act and other applicable South African legislation.

Ink of Klaassen currently has no employees and does not maintain an employee or payroll record category as part of ordinary operations.
7. Processing of personal information
Purposes
Personal information may be processed to operate the online store; process payments and orders; deliver physical books; provide eBook access; administer customer accounts; respond to enquiries; maintain accounting, tax and transaction records; manage newsletter subscriptions; maintain and secure the website; prevent fraud or misuse; analyse website performance; and comply with legal obligations.
Categories of data subjects
Data subjects may include customers, prospective customers, website visitors, newsletter subscribers, suppliers, couriers, service providers, professional advisers, rights holders, collaborators and persons who correspond with Ink of Klaassen.
Categories of personal information
Information may include identity and contact information, billing and shipping addresses, order and transaction information, account information, correspondence, consent and newsletter records, IP address and device/browser information, website usage information and supplier/service-provider contact information.
Recipients and service providers
Personal information may be shared, where necessary, with PayFast for payment processing; The Courier Guy for physical delivery; Afrihost for hosting, email and backups; Google Analytics and Lean Analytics for website analytics; GetResponse for subscribed newsletter communications; Wordfence for website security; Witzenberg Online for website administration and technical support; professional advisers; and public authorities where disclosure is required by law.
Transborder processing
Some service providers, analytics platforms, newsletter systems, international-delivery systems or their infrastructure may process information outside South Africa. Where a cross-border transfer occurs, Ink of Klaassen aims to use service providers and arrangements that provide appropriate protection in accordance with applicable privacy law.
Security measures
Security measures include controlled access to website administration, Wordfence security monitoring, routine software maintenance, backups through Afrihost, appropriate account access controls and specialist payment processing through PayFast. Measures are reviewed and adjusted as the website and risks change.
8. Making a request for access
A requester should use the prescribed PAIA Form 2: Request for Access to Record, identify the record requested, provide the information required by the form and explain the right the requester seeks to exercise or protect where required.
Requests should be sent to Patrick Klaassen at orders@inkofklaassen.com or delivered to Unit 30, The Greens, Altena Road, Strand, 7140, South Africa. Prescribed fees may apply where permitted under PAIA.
9. Availability of the Manual
This Manual is available free of charge on the Ink of Klaassen website. A copy may also be requested from the Head of the Private Body using the contact details above.
10. Updating the Manual
The Manual may be updated when the categories of records, processing activities, service providers or legal requirements change.
